Recruit 500 is an independent permanent and contract recruitment agency. 

Recruit 500 respects your privacy and is committed to complying with the latest GDPR legislation and protecting your personal data. This privacy policy will inform you as to how we look after your personal data and tell you about your privacy rights and how the law protects you. 

Purpose of this Privacy Policy 

This privacy policy aims to give you information on how Recruit 500 collects and processes your personal data through applying for a job advertised on job boards (if you apply directly to Recruit 500 the process is the same). This process is not intended for children under 16 but if the occasion arises then permission will be sought from a parent or guardian. 

Terms used in this policy 

Data Controller – Recruit 500 

Data Processor – Recruitment Software used to collate Applications. 

Candidate – A person who has applied for an advertised job. 

Employer – The company or business that has the job vacancy within their organisation. 

Application – A CV, Cover Letter, or other method someone has used to apply for a position. 

Data Processor and Data Controllers 

Recruit 500 use recruitment software, in this arrangement the company that supplies this service is the Data Processor and Recruit 500 is the Data Controller. Job applications from the job boards or social media are routed through this software to Recruit 500. 

Legal Basis for Recruit 500 to Use Your Personal Data 

Legitimate Interest Processing is required for the purposes of a Candidates legitimate interest. The candidate has applied for a specific position so their data is used to apply for that position. 

Consent The Candidate gives their consent to the processing of their data for a particular purpose. 

- Recruit 500 will only use a Candidates data in relation to the vacancy they have applied for. 

- To use a Candidates data for any other position Recruit 500 would ask for specific consent. 

- CV’s found on the CV databases on job board sites will be contacted for consent regarding a specific position and will not be put forward to an Employer without consent. 

How Your Data is Used 

Applications are directed through the Data Processor (recruitment software) to Recruit 500. At this point, the Candidate will receive a confirmation email from the Data Processor. Recruit 500 screen all applications and reply using the data the Candidate has used on the Application to contact them 

(phone number’s, email, social media messages or internal message on the job board the Candidate used to apply). 

Further information may be collected from the Candidate by a screening phone call, email or face to face interview. This data may then be shared with the Employer who has the vacancy the Candidate applied for. 

Data Retention Period 

A Candidates Data is held for a period relevant to their suitability to a role. A candidate who matches a role will be held on the database longer due to the potential of that role or one similar becoming available again. A candidate who does not match the role is held on the database for a shorter time. 

The timescale a Candidate remains on the database is from 3 months to 2 years dependant on suitability. 

Your Legal Rights 

The Right to be Informed – This Privacy Policy informs you how we collect your data, the purpose for collection and how we use the data, it also outlines who we share the data with. 

The Right to Withdraw Consent – If a Candidate has given specific consent for the use of their data this can be withdrawn through writing or verbally. 

The Right to Access – A candidate can request access to the data Recruit 500 holds on them. This can be requested in writing or verbally. The request would be completed within 40 days. There is no fee to pay unless the request is clearly unfounded, repetitive or excessive, in such case Recruit 500 will charge a reasonable fee. 

The Right to Rectification – The Candidate can have inaccurate data rectified or complete by contacting Recruit 500 and supplying the correct information. This action would be completed within 1 calendar month. 

The Right to Erasure – The Candidate, can request all the data held on them to be deleted, this request can be made in writing or verbally. 

The Right to Restrict Processing – The Candidate, has the right to restrict how we process their information. A candidate can request restricting their data being processed in writing or verbally. 

The Right to Data Portability – A candidate has the right to ask for their data to be moved to a different system. A candidate can request restricting their data to be moved in writing or verbally. 

The Right to Object – A candidate has the right to object to the processing of their data. A candidate can object in writing or verbally. Recruit 500 will respond to the objection within 1 calendar month. 

The Right to Not be Subject to Automated Decision Making or Profiling – Recruit 500 does not use any automated decision making or profiling systems. 

Recruit 500 has processes in place to respond to, record and complete these requests. 

The rights above are not absolute, and there are certain circumstances as laid out by the ICO where requests cannot be completed, if this is the case for a request, Recruit 500 will communicate and let you know the reasons for this.
